Public Workstations For Spring 2006

In response to staff and student requests, a number of changes have been made to the public workstations for the Spring 2006 semester. These changes will begin rolling out on Jan. 31, 2006, as student workstudies from the Library IT Services (LITS) department start rebuilding public workstations.

The changes are:

  • All changes made to a public workstation, and any documents saved to it, will be wiped out when the workstation is rebooted. Last semester, some students inadvertently saved personal information to a public workstation and were later upset that someone else might have viewed it. Staff members have also requested that documents saved to the public workstations get wiped out on a regular basis. This new change will better protect students’ privacy and wipe out any viruses and spyware that get accidentally installed on the public workstations.
  • The public workstations have been re-configured to allow access to USB thumbnail drives. This does not guarantee that all thumbnail drives will work on the public workstation, since some require special drivers or configurations, but a wider variety of thumbnail drives should work on the public workstations. When connected, these drives will be assigned a drive letter of D:\. Before the student removes the drive, they should click the USB icon in the system tray (lower right-hand corner of the desktop) and select “Safely Remove Hardware.”
  • SciFinder Scholar has been updated to the 2006 version.
  • Adobe Reader, Flash, Java, and Quicktime have all been updated to the latest versions.
  • Microsoft patches will now be delivered to the public workstations using a central patching server, so we can track whether any public workstations are missing patches.
  • The background on the desktop has been modified to include text that warns the students/patrons that any changes made to the PC will be wiped out on reboot.

GroupWise Upgrade Begins October 10

Beginning on Monday, Oct. 10, GroupWise clients (except those in the College of Law and in University College) will be able to install the new Novell Support Pack upgrade for GroupWise 6.5 on their computers. Please click yes when the pop-up box appears after you log into GroupWise. Clicking no will delay the installation; however, the upgrade will be automatically installed after the fifth time you click the no button.

The installation process will take about five minutes. If you interrupt the process, the upgrade will not be successfully installed.

The new support pack is designed to make a number of behind-the-scenes functions within GroupWise 6.5 work more efficiently, and includes enhancements to the address book, appointments, calendar, and busy search. The changes will generally be invisible to most clients who use the mail system. Public Workstation Update Begins Wednesday, 28 September 2005

On Wednesday, Sept. 28, 2005, ITS will begin rebuilding the public workstations with a revised image. The biggest change in the new image is the ability to display web sites written in the Chinese, Japanese, and Korean languages. The image also includes the latest versions of Adobe Reader (7.0.3), Java, Quicktime, Flash, Shockwave, Media Player, and the Symantec Antivirus software.

To improve security on the public workstations, Internet Explorer will now clear the "Temprorary Internet Files" area when it is closed. ITS has determined that the viruses and spyware found on the public workstations are almost always located in this area. Making this change will result in the spyware and viruses being wiped out as soon as the browser is closed. The only impact the students may notice is that browsing the internet may be slightly slower, since the "Temporary Internet Files" area is used to cache files to speed up web browsing.

The other configuration change made to Internet Explorer is that the "days to keep pages in history" has been set to to keep only one day of history information (Internet Explorer does not give the option to keep no history information). The history keeps track of the names of web sites the PC has visited in the past. The new, lower setting will reduce the number of old entries in the history area.

Windows XP SP2

Information Technology Services (ITS), in conjunction with the Technology Associates, will begin rolling out Windows XP's service pack 2 to staff workstations on April 25, 2005. Think of service pack 2 as being a really big patch for Windows. Mostly, it contains a number of security enhancements for Windows XP and Internet Explorer that are transparent to the user. The one noticeable change is that Internet Explorer now has a built-in pop-up blocker. This pop-up blocker stops pop-up windows from automatically opening up as you visit web sites. If you specifically click on a link or button, the window will still open, but windows can no longer open on their own without any user interaction (more on the pop-up blocker in the next issue of the Staff Newsletter).

For a three-week period (April 25 - May 15), staff members can choose one of two options to get XP SP2 installed on their PC:

  • upgrade to SP2 - you can schedule a time with your Technology Associate (or Information Technology Services, if you dont have a TA) to have your PC upgraded to XP SP2. This option will preserve all existing data, software, and configuration settings on the PC. However, since there is always a chance that something can go wrong, ITS recommends that you back up any important data (not software) that is on your C: drive to your H: drive before the upgrade occurs.
  • rebuild the PC - your PC will be completely wiped out and loaded with a clean, fresh standard build that now includes SP2. Any data and software that you loaded on the PC will be erased and will need to be reloaded, so you should back up any data you have on the C: drive to your H: drive before the rebuild occurs.

Depending on the model of computer you have (check the Dell tag on the front of the PC), the "rebuild the PC" option can be faster than the upgrade option. Upgrading to XP SP2 takes about 1-1/2 hours on the GX1 and GX100 models (which are cream-colored) and about 30 minutes on a GX240 or GX260 (which are black). Rebuilding a PC takes from 45 minutes to an hour.

If you want to upgrade to SP2, you should schedule it to run during a time when you are away from your PC - such as during lunch or while you are at a long meeting. If you are in an area that is locked and inaccessible to the public when it is not staffed, you can also schedule it to be started when you leave for the night. (Do not let the install run unattended in a publicly accessible, unsupervised area since the install may fail and leave the PC up and logged into the network and servers). Be sure to close all open programs (except the "Novell-delivered Applications" window) before the install is started and do not open any programs while the install is running.

The PC will automatically reboot if installation of XP SP2 was successful. You should log in with the same account after the reboot. This first login will be a bit slow as Windows XP completes the installation process.

When the three-week period for scheduling installs ends on May16th, ITS will begin forcing installation of the service pack. So, if you don't get XP SP2 loaded before May 16th at 8:00am, the install will start automatically during your first login after that time. The install will then tie up your PC for up to 1-1/2 hours. Do not try to cancel the install, as this may leave your PC in an unstable state. We realize that it is inconvenient for staff to have an automatic push of this length, so we encourage everyone to get their PC upgraded or rebuilt before May 16, 2005.

New Antivirus Suite Installation, Tuesday, February 22

LISD will roll out the "Symantec Client Security" software (which includes Symantec Antivirus) on Tuesday, Feb. 22, 2005, beginning at 8:15 a.m. The first time you log in after 8:15 am, a dialog box will appear that tells you the software is installing. The installation takes 6-8 minutes -- please do not open any new programs during this time or cancel any part of the install. After the installation is complete, the PC will automatically reboot.

After the reboot, please log in using the same account and wait 2 minutes after your desktop icons appear before trying to open any programs; the software needs to complete its configuration during this time. If you try to open a program that needs to communicate via the network (Voyager, Groupwise, IE, etc.) before the configuration is completed, the program will generate an error. Just close it, wait the two minutes, and try opening it again. If this does not work, reboot your PC again.

If you log in before 8:15 am on Tuesday, or if you leave your PC on all the time, please reboot your PC sometime after 8:15 am to start the installation. If your experience any problems with the install, please contact your Technology Associate or LISD at x4300 (lisd@syr.edu).

Once the software is installed, you may notice a yellow shield and a green globe (with a red "X" on it) in the system tray area of your desktop. You can just ignore these icons. LISD to Roll Out Symantec Client Security

On Tuesday, Feb. 22, LISD will be rolling out a new desktop security suite to all staff desktops. This software suite, called Symantec Client Security, will include antivirus protection (replacing the current McAfee antivirus product), spyware detection, and a personal firewall. Initially, the personal firewall piece will be turned off; implementation of that component will occur later this Spring.

False McAfee Message Circulating

In the past few days, two different PCs at the Library have received a pop-up window that claims to be from McAfee (the virus scanning software). This pop-up window claims that the sasser.d worm has been discovered and asks if the person wants to remove it. If the "Yes" button is clicked, then a page with text and graphics fills the entire monitor screen. This message claims that viruses and worms had been discovered on the PC that neither McAfee nor Symantec anti-virus can detect. There is no obvious way to close out this window.

If you see this message, please contact LISD at x4300. This message is not from McAfee and appears to be some kind of ploy to get people to click on objects. If McAfee finds a virus, a window with a hand squishing a bug will appear. The rest of the desktop will not go black -- you will still be able to see your desktop and other windows. The ploy makes everything go black except for the pop-up window, so that it appears that your only choice is to click on "Yes" or "No."

LISD rolls out Windows security patches Tuesday, April 20

Microsoft has released some critical security patches. These patches close security holes that could be exploited by a worm similar to the blaster worm that hit campus last Summer. To close the hole, LISD will be rolling out the Microsoft patches beginning at 8:30 am on Tuesday, April 20th.

During the patch rollout, you may see a dialog box that shows files being copied. Please do not cancel the operation -- these files need to be copied to complete the patch installation. When the installation is completed, you will receive a message that tells you the patch installed successfully. Your PC will reboot automatically once you click on OK.If you receive an error message, please contact LISD at x4300 or LISD@syr.edu.

We also encourage everyone to patch any of their home computers that are running Windows NT, Windows 2000, or Windows XP (and are used on the Internet) with the lastest critical security patches . For more information on the patches, you can visit Microsoft's web site at

On Thursday, April 15 starting at 8:00 am, LISD will be upgrading the server that hosts the Staff website. All web services from http://libweb.syr.edu will be unavailable for the remainder of the work day. They include: MoveableType, Web Events, and the Staff FTP Application. Any changes to libwww, MoveableType, and Web Events should be completed by 8am tomorrow morning, or they will be processed when the system has been upgraded.

LISTSERV upgrade Saturday, March 27

On Saturday March 27, from 7:00 to 12:00, we will be upgrading Listserv to
version 1.8e. During this time, Listserv will not be distributing mail,
and the listserv web interface will be unavailable. Mail and commands sent
to Listserv will be held until the upgrade is completed- they will be
delayed but not lost.

Listserv commands and list configuration options are largely unchanged in
1.8e. Following are some things you may notice:

o Major functionality changes involve the web interface:
- significant improvements for list owners, including a wizards capability
- list members can manage list subscriptions via the web.

o You may notice there is no longer a link to get a listserv password
on the main web page. The process of getting a listserv password is
integrated with the login process- if a password is needed, Listserv
will help youget it at the point when it is required.

Antivirus scanning is included with 1.8e, although we expect to be using
Syracuse University's AV scanning as well. Initially, virus emails will be
cleaned and forwarded on to the intended list. In the future, we hope to
delete virus emails completely. In summary, we do plan to do AV scanning,
but the details will be worked out over time.

We are testing spam scanning, although this is not part of the upgrade.
We will let you know how this works out.

Please remember, unless otherwise stated these changes will not take
effect until Saturday, March 27. If you have questions about the upgrade,

New Virus Not Detected by Email Virus Scanning

A new virus, bagle.j, hit SU's campus last night. The email virus scanner was not yet able to detect it, so a large amount of virus infected mail got through to email accounts on campus. Please do not open any attachments unless you were expecting to receive the attachment. Many people will have suspicious email this morning. Please just delete it.

McAfee has now released a new file that can detect this virus, and LISD will roll it out this morning. However, we have been getting new viruses at the rate of 1 to 2 a day during the past few days, and the pace of new viruses does not appear to be slowing, so please be extra cautious with email.

New Virus Alert

Clients are currently receiving a number of virus laden messages. The message appears to be sent from "The Syr.edu Team: and it contains a warning that your account is sending too many SPAM messages. You are then instructed to click the attachment and use a special password. This is a virus. Delete the message. CMS does not send messages with attachments for any purpose.

Another Virus Spreading Around Campus

A new virus is spreading around campus. SU's email virus scanner cannot yet detect it. Multiple people within the library are reporting getting email from SU and external sources that have attachments. These attachments may appear to be text files, but they are not. Please do not open any attachments unless you were expecting them. McAfee has not yet updated their virus definition files, so we are not yet protected from this virus.

New Virus Deletes Word and Excel Files

A new variant of the MyDoom virus is spreading rapidly. This virus is more destructive than other recent viruses, because it deletes Word, Excel, and image files after infecting the computer. LISD has begun rolling out a McAfee update that can help protect against the virus, but please do not open any unexpected attachments, even from someone you know. The virus spoofs the from address, and has various subject lines and attachment names.

If the virus executes, you may see a fake error message on your PC that says "File is corrupted. "The message can also be "File can not be opened" or "Unable to open specified file". Notepad may be run, displaying non-readable characters.." (source: McAfee website).

LISD Will Rollout Another Microsoft Patch

LISD will roll out the new Novell client beginning at 6:00 am Wednesday, February 18. The current client version is well over a year old and does not work well with our current server environment. This patch includes enhancements as well as fixes that are necessary for LISD to move forward with current projects. The process will require two reboots.

Upon login the update will begin. You will see a file copy box appear twice on your screen. Let the files copy and please do not click cancel. A dialog box will appear. Please click "OK" to reboot your machine. After your second login a dialog box will appear stating, "Your computer has been update with a new version of the Application Launcher..." Please select "Yes" to complete the installation and reboot the PC.

The login account must have administrator privileges to run this update. Please use your staff account during this process. If you receive an error message, please contact your Technology Associate or LISD at x4300.

Spyware Spreading Via AOL Instant Messaging

A spyware program is spreading via AOL Instant Messaging. While LISD does not support AOL Instant Messager, some people has installed it on their PCs, so we want to warn you of this new spyware package. If downloaded, the spyware will send information about your PC and internet browsing habits to a third-party and may slow down the performance of your computer. Your buddy list will also be harvested, and everyone on it will receive an instant message from you that contains the spyware.

The message to be alert to will claim to contain a humorous game about Osama Bin Laden. The name of the program, which may be altered in the message, is Buddylinks. If you receive such a message, even from a trusted source, do not click on the link or load the software.

refurbished PCs for sale

Recently, LISD has replaced over 40 public workstations with new Dell computers. We have refurbished the old machines and now offer library staff a chance to buy them. These computers are EDP machines with a Pentium (233 MH) CPU, 64+ MB RAM, a 2GB hard disk, and a 15" color monitor plus keyboard and mouse. These machines are not adequate for business use but may still be suitable for casual home computing needs. The machines have been reconfigured with a plain Windows 2000 operating system (no extra software comes with the computer) and will be sold as it is for $20 plus NYS Tax (7.25%). Library employees who are interested in buying these computers should read the attached form and follow the instruction. The deadline is next Wednesday, 2/18/2004.

LISD will Roll Out Microsoft Patch

LISD will roll out a new Microsoft patch beginning at 8:30 am on Wed., Feb. 11, 2004. This patch closes some security holes in Internet Explorer that are already being exploited on SU's campus. To close these holes, Microsoft had to elminate some functionality. After the patch is installed, you can no longer use the following URL syntaxes to log into web sites:

http(s)://username:password@server/resource.ext

username:password@host.com

Instead, you will have to navigate to the site and use the login box.


While the patch is installing, you may see a box pop up that says files are being copied. Please do not cancel this box - just let the copy run. After the install is complete, you will see another box that tells you the patch has installed successfully. Your PC will reboot automatically once you click on OK.

Information regarding network slowdown

This morning the library experienced a network slowdown due to high utilization on one of our servers. The server being close to capacity and experiencing increased demands caused the high utilization. The process used to correct this issue was also subject to the slowdown and took over an hour to run. Server operation is back to normal and LISD is working to reduce the server load. Please let us know if you encounter any problems.

New subnets will be added on Friday

Friday morning, between 6:00 -7:00 AM, CMS will add two new subnets to our current Bird library computer network. This will give us about 500 more network addresses. For the past a few years, we have increased our computer devices significantly and we are almost running out our capacity. This change will take care of this issue for a long time. We don't expect any difference for staff and public workstations because the rebooting will adjust the network settings. The settings on computer servers will need to be adjusted by the system administrators. Most system level work will take place late night on Thursday or early Friday. This change only affects the Bird library network. Sci-tech branches are on different networks. If you experience anything unusual, please report to x4300. Thanks!

LISD will be working with CMS to apply updates and patches to our network servers on Friday, November 21, 2003. The outage window is from 5:30 AM to 7:00 AM. Network services will be unavailable during this time period.
